Manage your organization and access

Demo School operates Main Campus and a separate working area for a new branch. The administrator first checks which organization each workspace belongs to, then assigns people to the work they need. A workspace switch is a change of working context, not a way to move an existing invoice between organizations.

Before you begin

  • Confirm the legal organization identity and which working areas need separate workspace access.
  • Use your own administrator account and verify the current context before inviting members.
  • Decide roles by responsibility. Employee records, contacts and signed-in members are different records.

Review the organization profile

  1. Open Organization → Organization profile.
  2. Review Organization name, Abbreviation and Primary color under General. The name appears in documents, reports, invitations and navigation.
  3. Review Document identity: address, phone, email, website, tax identifier, registration number, tagline and footer. Add approved brand assets and reusable payment instructions when needed.
  4. Choose Save changes, then reopen the profile to verify the saved identity. A mailbox connection has its own status and verification controls; a saved email address is not a connected mailbox.

Create and check workspaces

  1. Open Organization → Workspaces and review existing working areas before choosing Create workspace.
  2. Enter Workspace name, such as North Campus, and a description explaining the team’s purpose.
  3. Review Your role, then use Apps, Members and Teams to choose the intended applications and access. Check these selections before creating the workspace.
  4. Choose Create workspace only after reviewing its scope. Use the upper-left switcher to enter it and confirm its name before creating records.

Invite members and assign responsibility

If a member cannot see a module, check module availability, membership and role permissions. Do not share an owner’s login or issue a broad API key as a workaround.

  1. Open Organization → Members and review existing members before adding someone again.
  2. Choose Invite. Enter each colleague’s own Email address and press Enter or comma so the recipient is validated.
  3. Review Workspace access and Invite as. The selected role applies to every selected workspace; check that this is the access you intend before choosing Send invitations.
  4. Review roles in Settings → Roles & permissions. Grant the smallest role needed for the person’s tasks.
  5. Ask the member to accept the invitation and confirm the expected workspace is available.
The invitation form separates validated email recipients, workspace access and the intended role. No invitations were sent.1 Validate colleague email addresses2 Confirm the target workspace3 Choose the intended access

Organize teams

Open Organization → Teams to group people by shared responsibility, such as Finance or Student services. Review membership when staff move or leave.

A team is an organizational grouping. Check the actual role and workspace permissions separately before assuming that membership authorizes a sensitive action.

Verify the setup

  • Check that the upper-left organization and workspace match the intended work.
  • Have a member test one permitted task and confirm restricted work remains unavailable.
  • Review inactive memberships and revoke obsolete integration keys during offboarding.
