Stock counts

The Bookshop records 200 exercise books, but a controlled count finds 198. The count should state the 198 actually present, not a movement quantity of minus two. The reconciliation determines the difference from the records at the posting point.

Prepare a reliable count

  • Agree the count time and control movements while counting. Retain the count sheet and reviewer.
  • Identify the precise item, posting warehouse and base unit.
  • Count tracked batches and serials separately and confirm the valuation evidence.

Record the count

  1. Open Inventory > Stock counts and select New stock count.
  2. Choose the posting date. For each count line, select the item and warehouse.
  3. Enter Counted quantity and the supported Valuation rate. Do not enter the difference as the counted quantity.
  4. For tracked items, choose the counted batch or list serial numbers physically present. Add remarks explaining the count.
  5. Save a draft for review or Create and post count when the reconciliation is approved.

Check the posted difference

Inspect the resulting stock-ledger and accounting entries and reconcile them to the approved count sheet. A quantity correction must have an explainable value effect and source.

If posting remains incomplete, resolve the error and retry the saved count. If a submitted count is wrong, use its governed reversal action rather than changing the original result.

The difference is unexpected

  • Check for movements between the physical count and the posting date.
  • Check the warehouse, base unit, batch and serial list.
  • Review valuation rather than entering zero merely to remove a value difference.
